What customers can expect from Highlands Ranch Water’s new billing system

In an effort to offer more flexibility, convenience and transparency to residents to manage their water accounts, Highlands Ranch Water is switching to a new online billing platform powered by Invoice Cloud. Highlands Ranch Water decided to make this switch after using the same software for a couple of decades. “We just started to think that it was a little dated,” said Sam Calkins, general manager of Highlands Ranch Water. “It didn’t provide our customers the options and information that we could make available to them.”With the new system, options for payment will be more modern, said Calkins. It will be similar to what people are used to when paying other bills online or what they experience when online shopping. The more user-friendly interface will also provide a wider range of electronic payments options. For example, one option that was not available with the previous billing system is the Pay by Text choice. This will allow customers to pay instantly from their phone.Customers will also be able to receive email and text reminders when their bill is due. “If you’ve already signed up for paperless bills, you’ll still get the email notice about the bill,” said Calkins. “If you’re receiving the paper bill, you’ll still get the paper bill.”While AutoPay will remain an option to pay water bills, some action will be required once the new system goes live, which is estimated to be this spring. AutoPay users will have to re-enroll to ensure uninterrupted payments. Once the new system is live, AutoPay customers will have to register for an account, select AutoPay from the dashboard and enter preferred payment details.“Once it goes live, anybody will be able to go in there and update their AutoPay, but they may not see a bill from the new system for a couple months after it goes live,” Calkins said. The paper water bill will also have a new look. In addition to the change in the color scheme, the water district hopes to provide more information through a “News from Highlands Ranch Water” section on the bill. This section will include information about the different categories that customers are billed for, such as water, wastewater and infrastructure, information concerning conservation rebates and district updates. There will be a QR code on the bill that will lead customers to bill payments and a detailed breakdown of charges. With the switch, customers will also be able to view a 12-month water usage chart. Similar to what is seen on Xcel Energy bills, Calkins said the chart will show the customer what their monthly or bi-monthy use of water was over the past year. This will allow customers to compare and keep track of their water usage, and encourage them to conserve water, said Calkins. With a lot of behind-the-scenes work that is testing the software, Calkins said the switch should be rather seamless.
